ROLE OVERVIEW:
The HR Assistant role is a central and varied support role for the Solar Energy UK team of 15+ colleagues and RenewableUK team of 60+ colleagues who are largely based in our central London office as well as in our Northern Ireland and Wales hubs and our various associates and partners based all over the UK, including team members working from home.
The role is pivotal in delivering a welcoming, safe and smooth running working environment, providing day-to-day HR requirements and for providing administrative support to the wider team.
HR/OPERATIONS:
- Support the Head of HR and Governance with activities relating to RUK’s People Strategy, liaising with their outsourced HR Consultant, as needed. Activities will include the roll out and ongoing communication of company policies and procedures and supporting new ways of working, during and post pandemic.
- Support all managers with recruitment activities including posting adverts, liaison with agencies, checking the recruitment inbox, responding to candidate queries, right to work checks, logging CV’s, arranging interviews and notifying unsuccessful candidates.
- Co-ordinate the onboarding / induction of new joiners, following the induction checklist and liaising with the relevant line manager. Ensure workstation set-ups, DSE assessments, and organisation wide policies are shared, read and signed where needed, including data protection, health & safety, anti-bribery, dignity at work, working hours, clear desk policy, etc. You will also explain to new starters how to use the HR system, book holidays and record other absences.
- Oversee all types of absence recording for all staff, liaising with managers and team members to keep the HR system up to date, chasing and logging medical certificates and adhering to current data protection regulations.
- Preparing letters and HR correspondence including internal changes and payroll instructions
- Owning and maintaining HR database (PeopleHR) on a regular basis to ensure employee records are accurate and up to date.
- Create and maintain live trackers with Head of HR and Governance
- Complete actions in accordance with the Leavers Form when a member of staff is leaving the organisation and liaise with the relevant line manager, IT Contractor and Finance Department to ensure appropriate actions are completed.
- Support the Head of HR and Governance with any HR related projects and deal with a variety of HR admin.
- Assist and provide administrative support for the Head of HR and Governance with governance tasks for both RUK and SEUK
- Development and maintenance of RenewableUK’s library of reports and documents.
- Ad hoc duties as and when required.

NATURE, SCOPE AND WORKING RELATIONSHIPS:
This is a broad, busy and visible role in which you will need to provide a professional support service to the business. The role requires a pro-active, motivated and flexible individual with exceptional multi-tasking ability as the demands on the role will vary from time to time – a willingness to roll up your sleeves is key!
Although the role is varied with several responsibilities, it is all in the context of a relatively small office and team of approximately 75 staff and therefore some activities will only happen occasionally. The ability to prioritise and use initiative is essential.
The HR Assistant will establish good working relationships across the whole organisation and is expected to work across the team to ensure effective running of HR functions. They will be a primary point of contact with the team, members and other stakeholders, requiring strong interpersonal skills and the ability to take responsibility for managing and resolving enquiries. A good awareness of RenewableUK and Solar Energy UK’s business activities is key to ensure people are connected to the right team members.
The work is often confidential and with some tight deadlines, however you will need to be accurate and demonstrate excellent organisation, attention to detail and time management skills.
The role requires prior experience in coordinating projects, office and HR administration and delivering to deadlines. You will have excellent IT skills, alongside strong planning and organisational skills and an ability to manage personal data sensitively. We are looking for a problem solver, who can work autonomously, without requiring close supervision. As a significant point of contact with our members and stakeholders, you will be able to represent RenewableUK and Solar Energy UK and have a personable manner that allows you to build and maintain relationships with colleagues, members and stakeholders.
